Information for Presenters

Conference Platforms

JPS 2021 will be hosted and organized through the conference app Whova.

Whova is freely available as a mobile app (iOS,  Android) and as a desktop web interface using Internet browsers such as Chrome, Firefox, Explorer or  Safari.

Conference attendees will be able to view pre-recorded talks, posters, and join live Zoom sessions directly through the app. Once you have registered for the conference, you will receive an email to sign in to Whova and to download the mobile app to access the conference pages when they are available beginning on May 24, 2021.

All live sessions including the invited addresses, scheduled paper and poster sessions, discussion sessions, and symposia will be hosted on Zoom. Individual Zoom links will be made available through the Whova conference app. Just click on the live streaming button to join a Zoom session on the day of your session.

Preparing your Symposium, Paper, or Poster

Invited Program

All invited speakers will present their talks live on Zoom. In late-April, speakers and symposia and discussion session organizers were sent a personal link to a web-form where they can add additional information and materials pertaining to their session.

Symposia and Papers

Please pre-record your presentations and upload it to YouTube or Vimeo, or save it on Google Drive/Dropbox.  You will then add your video link to the conference app via a personalized web form that was emailed to you in early May. If you are unsure about how to save or upload a video file, please see this document for step-by-step instructions. In a symposium all papers can be recorded individually or together as one video.

Your video will be linked in the conference app prior to the conference so that attendees can watch it before the live session. Because of this unique format, each paper can be between 15 and 20 minutes long. Please keep in mind that conference attendees will have many videos to watch, so we encourage you to keep your video presentations short.

During the conference dates (June 1-5), you will participate in one live, chaired Q&A and discussion session on Zoom, where you will have a chance to engage with the other speakers and attendees. You will receive information about your scheduled time in early May.

Discussion Sessions

Each session is scheduled for 45 minutes and is intended to be used for a live discussion hosted on Zoom. Presenters have the option to add pre-recorded videos to the Whova app. To do so, please pre-record your video and upload it to YouTube, Vimeo, Google Drive or Dropbox. You will then add your video link to the conference app via a personalized web form that was emailed to you in early May. If you are unsure about how to save or upload a video file, please see this document for step-by-step instructions.

Posters

Please create your poster as you normally would and save it as a PDF file. You will then add your PDF to the conference app via a personalized link that was emailed to you in early May so conference attendees can view your poster in the Whova app.

During the conference dates (June 1-5), you will participate in one live, poster session where you will have a chance to engage with the other attendees via a Zoom breakout room. You will receive information about your scheduled time in early May.

Uploading your presentation or poster to the Whova app

Paper and poster presenters as well as symposia and discussion organizers received an email in early May with a personal link to a webform where they can add information about their session. You will also be asked to provide the Youtube/Vimeo/Google Drive/Dropbox link(s) for your presentation or poster. Once you submit the form, your video(s) or poster will be automatically added to the Whova app. If you are unsure about how to upload your video to Whova, please see this document for step-by-step instructions.

IMPORTANT NOTE: Please upload your paper or poster presentation well ahead of time to give conference attendees the opportunity to view it. All presentations should be uploaded by May 17, 2021 at the latest.

If you have any questions, or did not receive the link to your webform, please contact the virtual conference chairs, Emanuela Yeung and Shannon Audley.
